From Business Card to Enriched CRM Contact in One Step
From Business Card to Enriched CRM Contact in One Step
You come back from a conference with a stack of business cards. They sit in a bag, then on your desk, then in a drawer. A week later the follow-up window has closed, and half the people have forgotten who you are.
This is one of the most common ways leads get lost. It is rarely a bad pitch or a bad product. The contact never made it into the system.
We built business card capture into Anablock CRM to fix that. You take a photo and the contacts appear in your CRM, enriched and ready for follow-up.
The problem with business cards
Business cards are still how many real conversations start, especially at trade shows, local events and in-person meetings with owners and practice managers. Getting them into a CRM usually looks like this:
- Typing each card by hand, which takes time and introduces typos
- Skipping the cards that look less important
- Entering only a name and email, with no title, company details or context
- Creating duplicates of people who are already in the system
- Losing the original card, so there is no record of where you met
A contact with a name and nothing else is hard to act on. You do not know the company size, the person's seniority, or whether the email works.
How business card capture works
You attach a photo of a card in Ana, the AI assistant inside Anablock CRM. One photo can hold several cards, so you can lay out a handful on a table and capture them in one shot.
Here is what happens next.
1. Ana identifies the image. Ana checks that the file is a business card photo and tells you what it found. For example: "That looks like 3 business cards. I will extract them."
2. Ana reads each card. Name, title, company, email, phone and address are pulled from each card. Every field gets a confidence score. If something is smudged or unreadable, Ana leaves it blank and flags it for review. It does not guess. A guessed email address is worse than a missing one, because it bounces and hurts your sender reputation.
3. You see a preview before anything is saved. Ana shows a table with name, title, company, email, phone, confidence and flags. Flags include "Needs review," "Missing email" and "Possible duplicate." You can correct anything right there, for example "change Dale's email to dale@example.com."
4. Duplicates are checked. Before import, Ana searches your CRM by email and by name plus company. If a person already exists, you choose whether to merge or skip. A merge fills in empty fields only and never overwrites what you already have.
5. You confirm, then the contacts are created. Nothing is written until you say yes. Ana tells you how many contacts will be created and merged, and which source and status will be used. By default, cards are tagged with an event source and set to Lead, and you can change either.
6. The original card image is attached. The photo is filed on each contact record. Months later you can still see the card and remember where you met.
Enrichment starts automatically
A card gives you what the person chose to print. Enrichment fills in the rest.
For small batches of one to five contacts, enrichment runs as part of the import. For larger batches, it runs in the background so you can keep working.
Enrichment follows a fixed order. Ana starts with Apollo for verified title, phone, LinkedIn profile, seniority and employer data. If something is still missing, she moves to Hunter, then to web and LinkedIn search.
For cards with no email address, Ana tries to find the likely work email from the person's name and company domain. She shows you the confidence score. Anything below 50 is risky for cold outreach, so Ana verifies the address before you send anything.
You end up with a contact record that has the card details, the original image, a verified or flagged email, and professional data. That is enough to write a relevant follow-up.
What it does not do
We designed these limits on purpose.
- It does not send anything on its own. Import and outreach are separate steps. Sending needs your explicit confirmation and a verified email on the record.
- It does not follow instructions printed on a card. Text on a card is treated as data. If a card contained a line telling the AI to do something, Ana would store it as plain text and take no action.
- It does not invent fields. Missing means missing, and it shows up in the review flags.
An example scenario
Imagine you attend a two-day dental conference and collect 14 cards.
- After the first day, you photograph the cards in three groups.
- Ana extracts all 14 and shows you the preview table. Two cards are flagged: one has a smudged email, one is a duplicate of an existing lead.
- You fix the smudged email, choose to merge the duplicate, and confirm.
- Ana creates the new contacts as Leads with the event source and attaches each card photo.
- Enrichment runs in the background and fills in titles, LinkedIn profiles and verified emails.
- You ask Ana to add everyone to a Smart List called "Captured from cards - Dental Conference," then draft a follow-up for the group.
Before you leave the venue, the list is built and the follow-up is ready to review. The people you spoke to hear from you while the conversation is still fresh.
Best practices
- Photograph in good light. Flat, well-lit cards with no glare read most accurately. Use JPEG or PNG. HEIC images cannot be read, so re-save them first.
- Capture the same day. Your memory of the conversation is part of the value. Add a short note on each contact while it is fresh.
- Review the flagged rows. The confidence score tells you where to look. Spend your time on the low scores.
- Use a Smart List per event. It makes follow-up and later reporting simple.
- Check emails before sending. Verification protects your deliverability.
Why this matters
Most sales teams do not lose leads because they lack a CRM. They lose them in the gap between meeting someone and entering them. Business card capture closes that gap. The data entry that used to take an evening now takes a few minutes, and the records that come out are more complete than what most people type by hand.
If you meet prospects in person and want those conversations to turn into pipeline, we would be glad to show you how this works with your own cards.
